Privacy policy

HoleCrew is operated by Closed Circuit Inc. This policy covers the HoleCrew app, the member site and the club admin. Questions: sean.odea@closedcircuitconsultants.com

What we collect

• Your name and email. We use the email to send sign-in codes, club invites and mail about events you play in.
• Optional: your GHIN number, gender and Handicap Index. Gender picks your tees; the Handicap Index gives your net scores.
• Your scores, the games and matches you play, and the tournaments you sign up for.
• The clubs you belong to and your role in each (member or admin).
• A push token for your phone (Firebase Cloud Messaging), so we can send the notifications you have turned on.
• Approximate location, only when you add a course from a scorecard photo. It is saved with the course record.

Scorecard photos

When you add a course from a photo of its scorecard, we send the photo to an AI provider (OpenAI or Anthropic) to read the card into a draft course. The photo is not used for anything else.

Calendar

When you ask, the app writes your tee times to your phone's own calendar. Calendar data never leaves your phone.

What we don't do

HoleCrew has no ads and no analytics or tracking SDKs. We do not sell personal data.

Service providers

These providers run parts of HoleCrew for us and get only what their part needs:

• Hosting: Laravel Cloud
• Email delivery, for codes, invites and event mail
• Firebase Cloud Messaging, for push notifications
• The AI provider above, for scorecard photos

Who sees what

Your scores and leaderboard places are visible to the other players in the event and to the club that runs it. When a club publishes a public leaderboard, anyone with its link sees the names, flights and scores on it. Club admins see their members' details.

Keeping and deleting your data

We keep your account until you delete it. You can delete it in the app, or on the web without the app:

Deleting your account removes your name, email, GHIN number, gender and other profile details. It signs you out everywhere and removes your push tokens, club memberships, admin invites, favorites and tournament sign-ups. The scores you already played stay on the results and leaderboards of those events as "Deleted player", so the other players' results stay correct.

Children

HoleCrew is not directed to children under 13.

Changes

If we change this policy we will update this page and its effective date.
